You can turn a folder of PDFs into a support bot. The hard part is making sure the bot gives correct answers.
I haven’t built one on a paid account, so this guide is a method rather than a click-by-click tutorial. Menu names differ by tool, and I’ll use CustomGPT.ai as the example. For the tool overview, see our CustomGPT.ai review.
What you need
- PDFs with your support content: manuals, FAQs, policies, price lists
- A chatbot platform that trains on your files
- 30 minutes to test
Step by step
- Gather your documents. Collect the files customers ask about most. Start with 5 to 10.
- Clean them up. Delete old versions, duplicates, and outdated policies. The bot can’t tell which file is current.
- Check the PDFs are readable. Scanned images may need text recognition (OCR) first, or the bot sees nothing.
- Write 20 test questions. Pull them from real emails or chats. Add the correct answer next to each.
- Create the agent and upload the files. On CustomGPT.ai, you create an agent and add your sources.
- Set the rules. Tell the bot to answer only from your documents, keep a friendly tone, and say it doesn’t know when it can’t find an answer.
- Test it. Ask all 20 questions. Mark each answer right or wrong, and check whether it cites the right source.
- Fix the gaps. Wrong answers usually mean a missing or unclear document. Fix the source, then retest.
- Embed it. Add the chat widget to your site, or share a link.
- Watch the first week. Read the real conversations and fix what the bot gets wrong.
Tips for better answers
- Use plain, specific documents. One page per topic beats one giant manual.
- Add a fallback. The bot should hand off to email or a human when it’s unsure.
- Update when things change. A price change in a PDF only helps once the bot has the new file.
- Don’t upload private data you wouldn’t want shown to customers.
How many right answers is enough?
My rule: 8 of 10 or better on the test before going live, with a clear handoff for the rest. If it’s below that, fix the documents first.
Cost
CustomGPT.ai starts at $99 a month, with a 7-day trial. Chatbase has a free plan for small tests. See CustomGPT.ai pricing and CustomGPT.ai vs Chatbase.

Frequently asked questions
Can I build a chatbot from PDF documents without coding?
Yes. No-code platforms like CustomGPT.ai let you upload files and embed the bot.
Do scanned PDFs work?
They may need OCR first. Test one file before you upload them all.
How do I stop the bot from making things up?
Tell it to answer only from your documents, and test with questions it shouldn’t know. Check the cited sources.
How often should I update the files?
Whenever a policy, price, or process changes.
